VACANCY FOR POST OF EXECUTIVE SECRETARY - URGENTLY NEEDED IN SENAWANG

REQUIREMENTS:

  • Candidate must possess at least a Diploma in Executive Secretaryship (DES) or Bachelor's degree of related fields or equivalent.
  • Proficient in English and Bahasa Malaysia
  • Minimum 3 years of working experience in similar position.
  • Preferably Senior Executive specialising in Executive Secretaryship & Personal Assistant or equivalent.
  • Possess initiative, integrity, honesty, resourcefulness, trustworthy and able to maintain confidentiality at all times
  • Possess a flair for writing, especially corporate correspondence and minutes of meeting
  • Possess good memory, effective communication skills and ability to adapt and be flexible
  • Must be able to multi-task, organise events, conduct meetings and other administrative or secretarial duties as required
  • Administration skills gained, through solid experience in an office environment with good secretarial/previous PA experience.
  • Computer literate with Advanced Skills using ExcelMicrosoft Word, PowerPoint, and Lotus Notes  .
  • A self starter, able to work on own initiative, independently and as a team.
  • A positive thinker with ability to multi-task, possess sense of responsibility and commitment in meeting tight schedules, High analytical and detail in checking numbers.
  • The Job:

    • To provide efficient day-to-day and secretarial support to the Regional Manager/Management Repesentative.
    • Manage his day-to-day schedule, and follow-up and follow through all matters requiring further action
    • Secretarial and administrative tasks such as drafting of letters and memos, maintaining a proper filing system, and attending to faxes.
    • Make appointment, travel arrangement, hotel reservation, arranging and coordinating business schedule / itinerary, company event and social function.
    • Checking documents for his signature.
    • Preparation of project report, legal document such as agreement and presentation material using MS PowerPoint
    • Managing day-to-day operational matters requiring his input and approval.
    • Provide secretarial functions
    • Responsible for any ad-hoc tasks assigned from time to time
    • Checking and analyse report submitted by all department for presentation to Regional Manager/Management Representative and filing
